Team Assistant and Office Manager
OVERVIEW AND RESPONSIBILITIES
As a Team Assistant and Office Manager you will be reporting to the Country Manager. You will be working closely with all the members of the team providing administrative and organizational support. The main responsibilities of the role include:
• Extensive diary / meeting management
• Extensive management/organization of team travel (flights, hotels, car rentals etc.)
• Creating and modifying of documents using Microsoft Office
• Organizing local office events and global company events
• Supporting staff in assigned project based work
• Answering telephones and transfer to appropriate staff member
• Performing general clerical duties to include but not limited to photocopying, faxing, mailing, and filing
• Maintaining hard copy and electronic filing system
• Ordering and purchasing of office supplies (stationery, consumables etc)
• Support on facilities needs (cleaners, replacement of equipment, minor building works, etc.)
EDUCATION AND QUALIFICATIONS
• Exceptional administration organization and listening skills
• Minimum 3 years of work experience in a secretarial / administrational position or a similar field
• Quality oriented, proactive and self motivated with a “hands-on” mentality
• Strong minded with excellent communication skills
• Taking ownership of projects
• Excellent attention to detail and ability to multitask
• Team player and able to work in a fast paced environment with different personalities and different objectives
• Advanced experience with the Web and strong knowledge of MS Office (Word, Excel, Outlook, PowerPoint)
• Excellent verbal and writing skills in both English and German
